Position Description Temporary Music Program Administrative Assistant. Reporting to the Music Program Director and part of the Seattle University Department of Performing Arts & Arts Leadership, this position provides essential operational support to the Music Program and the BA Interdisciplinary Arts in Music degree. About the Program Seattle University Music is part of the Performing Arts and Arts Leadership Department in the College of Arts and Sciences, which includes Music, Theater, and Arts Leadership. SU Music serves a broad cross-section of students and community members from all disciplines and supports the BA Interdisciplinary Arts in Music degree program with specializations in both vocal and instrumental music. The program encompasses three choral ensembles and a wide range of music courses, including music theory, ear training, music history, group piano, world music, chamber music, sound & audio production, and more. Private lessons are offered in voice, guitar, piano, and strings. With a vibrant calendar of performances, guest artists, and collaborations each year, we are a community of active scholar-artist-teachers committed to providing transformational artistic and educational experiences to the Seattle University community. Responsibilities / Duties Provide administrative and operational support services to the director, faculty, and students of the Seattle University Music Program. Maintain a regular tuning schedule for approximately twenty-six departmental pianos, staying within budget for tunings and repairs. Field inquiries about piano donations, evaluating instruments for quality and sustainability. For instruments accepted for donation, arrange transport with the owner, piano movers, Campus Safety, and Parking Services. Submit appropriate paperwork (appraisal, donation form, etc.) with the University Development office. Coordinate with Residential Housing to relocate usable but unwanted pianos to the dorms. Attend Performing Arts & Arts Leadership Departmental meetings. Support Music Program meetings, send reminders, and record, write, and distribute minutes. Track the completion of tasks assigned during meetings. Develop and/or update department promotional materials and keep copies available at all times. Coordinate logistics for program events, including creating concert programs, posters, flyers; assisting with livestream coordination; securing room reservations, catering orders, and guest parking; as well as assisting with advertising and overseeing day-of-event activities. Oversee maintenance and management of choral library sheet music holdings, storage, and organization. Work with the program director to manage student workers (choral librarians, social media manager, crew, communications officers, etc.). Work Environment & Physical Demands Work is performed in a classroom or office setting. Option for flexible/remote administrative work. Minimal local travel to concert sites. Qualifications High school diploma and three or more years of previous administrative support experience or an equivalent combination of education and experience sufficient to successfully perform the essential functions of the job. Ability to knowledgeably assess the quality and condition of campus-owned and potential donated pianos, making informed decisions about their maintenance, placement, and care. Experience handling logistics for meetings and events, including guest parking, advertising, catering, and overseeing day-of-event activities. Demonstrated ability to form and maintain productive working relationships with faculty, staff, and students from diverse backgrounds. Skills in managing competing deadlines and self-initiating tasks while maintaining a high degree of accuracy, attention to detail, and a warm and welcoming environment. Excellent written and oral communication skills, with the ability to proof and correct spelling, grammar, and punctuation in promotional materials and communications. Intermediate fluency with MS Word, Outlook, Canva, and social media post management. Preference for candidates with a background in music and experience supervising task-oriented student workers for short and long-term goals. Compensation at a Glance Salary Range: $25 per hour Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate’s gender or any other protected status. Hybrid Eligible This position may be eligible for a hybrid schedule after successful completion of an introductory work period of 3-6 months. This may mean that a hybrid eligible role will begin on-campus initially and then will transition to hybrid format following onboarding and training.
